Practice management software you can talk to

The voice assistant takes your spoken instructions — through an earpiece or straight from your mobile — and carries them out in the software: she shows you what to press and where to go, and offers to do it for you — for example, she will fill in a prescription and say aloud exactly what she is issuing. A separate telephone secretary answers the practice line at any hour: she books appointments and explains invoices. Not sure how something is done in the software? Just ask her.

Step 1

Install in under a minute

Delivered through the Microsoft Store, like any other application. Nothing needs configuring and no engineer needs to visit the practice.

Step 2

Put on your earpiece

Speak in plain language: “book Mr Cohen in for Thursday”, “issue the prescription”, “raise the invoice”. Your hands and your attention remain with the patient.

Step 3

Routine work continues on its own

Confirmations and reminders reach patients, calls are answered, payments arrive by link, and consumables are deducted from stock as they are used.

For the doctor

Your voice assistant works from your earpiece

Practically everything you would do by hand can be done by voice.

  • She does not merely open the correct window — she completes the fields and applies the changes for you, stating each step aloud as she goes.
  • Before any significant action she states the intention aloud: “prescribing amoxicillin for Mr Cohen” — and on a controlled drug she reads the dose back and waits for your yes.
  • At the start of the day she reads out what has arrived and what is due, leaving routine traffic alone.
  • Ask “what does this message on the screen mean?” and she reads your screen and explains.
  • She shows a warning when the medicine you are prescribing appears in the patient's allergy list or in the built-in interactions table. That table is not exhaustive and is no substitute for a professional drug formulary — the absence of a warning does not mean the combination is safe.
  • 67 types of document print directly from the software — from a prescription to the theatre list — in the language of your country, and right to left in Hebrew.
  • Consumables are deducted from stock automatically as treatment is delivered; when a line runs low, the order to your supplier can be sent without you — a setting you enable yourself.
  • The software covers 24 fields of practice and displays only your own.
  • Your practice diary can sit alongside your personal calendar, so nothing is ever double-booked.

Reception

The same assistant at reception — clinical and financial data kept closed

Your receptionist speaks to the software exactly as you do, while the clinical record and the practice finances remain out of reach.

  • A slot falls free and the whole waiting list is offered it at once on WhatsApp, with a single button to accept. Ringing round is a separate option you enable yourself.
  • You are running late — the telephone assistant rings the affected patients and agrees a new time. The diary changes only once the patient has agreed.
  • The confirmation goes out a day in advance and the patient replies with one tap; if WhatsApp cannot reach them, it is sent by text message.
  • Reminders for a review that is due, an unpaid invoice or work returned from the laboratory are sent automatically — 51 background processes keep watch.
  • Nothing is sent overnight: between 9pm and 8am the practice stays silent, and every opt-out is respected.
  • A tablet at the desk lets patients check themselves in without queuing at reception.

Practice telephony

Calls answered at night, at weekends and while you are with a patient

Outside surgery hours a missed call is a patient who books elsewhere. Your line is now answered every time.

  • She books, reschedules and cancels appointments during the call — 42 actions available while the caller is still on the line.
  • She explains an invoice line by line and re-sends the payment link, so nobody is left on hold.
  • She replies in the caller's own language, recognising it from the first words.
  • If the call shows signs of urgency, it is put through to the doctor and the caller is given the emergency number. Out of hours, when the surgery is closed, she gives the emergency number and offers to take a message.
  • On every call she introduces herself as the practice's automated attendant, not a member of staff.
  • She verifies what the patient's insurer covers before the appointment is confirmed.

For the patient

A patient portal with nothing to install

One link on their mobile, and the routine enquiries stop reaching reception.

  • Patients sign in with a code sent by text message, and thereafter with a passcode or a fingerprint that never leaves their handset.
  • They can view appointments, invoices, test results and prescriptions — and reschedule an appointment themselves.
  • A child's or a parent's record opens only with explicit consent, and that consent is withdrawn in a single tap.
  • Registration and consent forms are signed on screen, and the signature is embedded in the document itself.
  • Set the handset down and the clinical details are hidden, so nothing is read over a shoulder.
  • Patients can see for themselves who opened their record, and when.

Payments

Payment is taken before the patient leaves the chair

No till, no queue at the door and no “I'll settle it tomorrow”.

  • Say “raise the invoice” and the bill, with a payment link, reaches the patient before they have stood up.
  • The receipt is generated automatically, in line with your practice's VAT status.
  • Payment link, card terminal, cash or a card held on file — whichever method your patients prefer.
  • No patient is charged twice, even if the payment page is opened again.
  • For your accountant: a complete six-page set of year-end accounts and the export in the format the Tax Authority requires. The submission is still made by a person.
  • Closing the day and sending the copy to your accountant takes a single instruction.
  • Every visiting practitioner keeps separate invoicing and separate stock within the same practice.

Questions

What doctors ask us first

Do I need an internet connection?

The software itself runs on your own computer. Telephony, WhatsApp and the patient portal do require a connection, as they communicate with the outside world.

How long does installation take?

About a minute, from the Microsoft Store. There is nothing to configure afterwards and no visit to the practice is required.

Is everything really done by voice?

Practically everything done by hand can be done by voice. Administrative screens are opened in the usual way, and before any significant action she states aloud what she is about to do; on a controlled drug she reads the dose back and waits for your yes.

Who can see the clinical records?

Only the people you authorise. At reception the clinical record and the financial data remain closed, and every access to a record is logged.

Does the software record my consultations?

No. The doctor dictates whatever is worth recording; nothing else is captured.

Does it file my tax return?

No. It prepares the year-end accounts and the export for your accountant in the format the Tax Authority requires. The submission is still made by a person.

Does it work with my X-ray machine?

Imaging equipment is not yet integrated. Everything else in the patient record — notes, prescriptions, documents and photographs you upload — is fully supported.

Which countries is it sold in?

The software is currently sold in Israel. It speaks and prints in seven languages, with English in both its British and American forms.
